Multiple letters received - advice needed

Hello,

I received a letter on the 8th of April stating the amount I am to pay in conclusion from the stop by a member of the rail staff on the 27th March (the incident was ticket shorting). The letter says once this is paid, "the matter will be closed". I have done this multiple times so they have gone through my digital footprint and tallied up all of the times this was done.

I have just received a letter today dated 9th April saying there was an incident the same day and I am to write to you before you proceed any further. This letter looks like the standard letter everyone receives when they have been stopped by a member of the train staff.

I just want to check that when I pay the amount on the original letter, then I do not have to respond to the other letter and give comments on the incident? As in theory it is now closed.
I have emailed the email address on the letter but I'm assuming I won't get a response until at least Monday or Tuesday next week.
The reference number is the same on both letters.

As you imply, it's only fair to give the railway a couple of working days to respond, so wait to see what they have to say early next week. But if they don't respond in a reasonable time, I would suggest replying courteously to the 9 April letter explaining the payment you made in response to the 8 April letter, and asking them to contact you if they still need further information. That way, the ball is in their court and the railway needs to take the initiative if they want things to go further.

But if they don't respond in a reasonable time, I would suggest replying courteously to the 9 April letter explaining the payment you made in response to the 8 April letter, and asking them to contact you if they still need further information. That way, the ball is in their court and the railway needs to take the initiative if they want things to go further.
Thank you. My main concern is Tuesday is the 7th day from the 9th April letter and the letter says to send the response by that timeframe so I'll have to send the letter on Monday anyway if I don't get a response to save any further issues

I think send your courteous letter on Monday then

Could you post a redacted copy of the second letter, please, as your wording reads oddly.

if there was an incident on 9 April the TOC may well deal with it separately.

Hi all - just an update incase anyone ever comes across this situation. I have received the email below form the railway team:-
"
Thank you for your email.
This is to confirm that once you make the payment stated on the original letter, you don’t have to respond to the letter requesting you give comments about the incident."

Everything should now be resolved then.

But hang on to all the correspondence you have sent and received: if it turns out that the railway are still making a mess of this, it could be useful to show them the email that effectively said that you didn't need to respond to the 9 April letter - including the headers and everything so that they know that it's a real email form them.
