I would send a short, concise reply mentioning the following points:

- That you are sorry for what has happened
- What you have learned from the incident
- That you are keen to settle the matter without the need for court action
- Offer to pay the outstanding fare and the train company's administrative costs in dealing with the matter

Feel free to post a draft of your reply in this thread and forum members will be happy to proof read it for you.

I would also reply by email if possible. I would avoid putting an important letter in the post this time of year if possible.

Please will you allow this matter to be resolved by way of an out of court settlement to cover the fare as well as any administrative costs incurred by Northern Rail in addressing this matter. Please let me know the amount owed and the payment process, and I will make the payment promptly.

Once again, I apologize for any inconvenience caused and I hope that we can resolve this matter as quickly and smoothly as possible. I am assuring you that I will always ensure that I hold a valid ticket for all future journeys.

You say you unintentionally reused a one-way complimentary travel pass. This is incorrect. You changed the date with intent. So you need to remove the word: unintentionally.

Also on two occasions you use American English for the word: apologize. You need to change this to British English spelling.

Thank you @gray1404 do I have to write this on the back of their letter and then send them a scanned copy or can I pop this on the email and attach a scanned copy of the first page with asks me for my details etc

It can all be typed into an email. Include your case reference number at the top of your email and all the personal details requested (name, address, date of birth and phone number) at the bottom of your email. You have already confirmed the stations travelled between in your main email text.

Now stop overthinking it, get the email sent off and forget about it until they respond. Keep an eye on both your emails and post until they respond.

Thank you so much! I did send them my reply before the 14 days time frame was up. I had an auto reply from them but that was it. This morning I got the same letter which I was sent to me the first time. I was wondering why this may have happened. This one has a new date stated on it. I'm confused and worried. Shall I send them the same response by email? Please let me know. Thank you once again for your help and support.

Could you upload a pic of this latest letter? Once again, please obscure your name and address and any case reference number. (By the way, is the case reference number in the latest letter, the same as the one in the previous letter, as was posted upthread in post #30?)

I don't see any reason to be worried. Just send them the original response, along with a note explaining that you are doing so because you have received this letter again.

Hi Again, I am a bit worried and concerned that I have not heard anything from NR by email or by post. Is this normal? Would they have read the email I sent them the first and second time. I was thinking of sending them a scanned copy of the first page of the completed letter in post #42 with my details written on It. Even though i had typed everything on the first email I sent last month. Do they need to see the letter with my details and signature on it. Please can anyone advise me. I am so anxious about the entire situation. I wish I had never made the mistake.
